For clients and guests using a client portal, gallery, or share link powered by Pixally. If you are a photographer or studio, see our Terms of Service instead.
Last updated: August 26, 2026
You are here because a photographer, videographer, studio, or other business invited you to a client portal, a gallery, or a page they created. That business builds and runs those pages using software made by Pixally. We are the software company behind the scenes. They are the people you hired.
These Client Terms of Use are the agreement between you and Pixally, and they cover one thing only: your use of the software. They do not change anything you agreed with the business that invited you.
In this document, "you" means anyone who signs in to a client portal, opens a gallery, showcase, video, or share link, or submits an enquiry form that runs on Pixally. That includes clients, and it includes family members and guests who were given a link. "We", "us", and "Pixally" mean Pixally. "Your Photographer" means the business that invited you, whether they photograph, film, plan, or something else.
If you do not agree with these terms, please do not use the portal or the galleries, and contact your Photographer instead.
This is the most important thing on this page, so it comes first.
Your Photographer decides everything you see. They choose what goes into your portal, which features are switched on, what you are allowed to download, how long a gallery stays open, and who else gets a link. They set their own prices, their own contract terms, and their own policies.
Your contract is with them, not with us. Your booking, your package, your payment schedule, your deliverables, your delivery dates, your refund and cancellation rights, and what you are allowed to do with your photos and films are all governed by your agreement with your Photographer. We are not a party to that agreement. We cannot change it, cancel it, enforce it, or issue a refund under it.
So if your question is about your photos, your booking, your invoice, your timeline, or your contract, your Photographer is the person to ask. If your question is about the website itself not working, you can reach us at support@pixally.com and we will do what we can, though in most cases we will need to work through your Photographer.
You cannot sign yourself up. Your Photographer adds you, and the portal link arrives by email at the address they hold for you, or at the address you used on their enquiry form. Depending on how they have set things up, you may sign in with a one-time link sent to your email, or by creating a password the first time and using it after that.
Galleries, showcase pages, and videos are sometimes shared as a plain link, or a link with a passcode, so that family and guests can see them without an account. If you were given a link like that, these terms still apply to you.
Sign-in links, share links, and passcodes are meant for the people your Photographer chose. Anyone who has the link may be able to see everything behind it. Do not post one publicly or forward it to people your Photographer has not included. If you think someone has your sign-in link or your password who should not, tell your Photographer, and email us at security@pixally.com.
Give accurate information, keep your password to yourself, and understand that anything done through your account is treated as done by you. Your Photographer controls your access and can change or remove it at any time, including when your project finishes.
You must be at least 16 to use a client portal account. Younger family members are welcome to look at a gallery someone else opened for them.
Not every client sees the same thing, because your Photographer turns features on and off to suit how they work. Depending on their setup, you may be able to:
If something you expected is missing, your Photographer has not enabled it. Ask them.
The photographs, films, and other work in your gallery are protected by copyright. That copyright belongs to your Photographer, or to whoever your contract with them says it belongs to. It does not belong to us, and nothing here transfers it to you.
Whatever you are allowed to do with the work, whether that is printing it, posting it, sharing it, or entering it in something, comes from your contract with your Photographer. It does not come from these terms and it does not come from us. Being able to download a file is not the same as being given the right to use it however you like. If you are not sure what you may do, ask your Photographer before you do it.
Unless your contract with your Photographer says otherwise, please do not remove watermarks or credits, sell or license the work, use it to advertise a business, or feed it into a service that claims rights over what you upload.
If you sign a proposal or a contract in the portal, you are agreeing that an electronic signature and an electronic record count the same as a signature on paper, and that the document is legally binding on you. You are also agreeing to receive that document and related notices electronically rather than on paper. You can ask your Photographer for a paper copy, and you can withdraw that agreement by telling them, though doing so may mean you cannot keep using the portal for signing. Please download and keep your own copy of anything you sign.
The agreement you sign is between you and your Photographer. Our software presents it, records that you signed it, and stores it for them. We do not review it, advise on it, or become a party to it.
Payments you make through the portal are handled by a third-party payment processor and go to your Photographer. We do not hold your money and we do not set the amount. Prices, deposits, retainers, payment schedules, late fees, refunds, and cancellations are all matters between you and your Photographer under your contract with them. Your card details are handled by the payment processor under its own terms and privacy policy, not by us.
Please use the portal and the galleries the ordinary way. Specifically, you must not:
If you break these rules we may suspend or remove your access, and we will normally tell your Photographer.
You may be able to leave comments, mark favourites, answer questions, upload files, and send messages. Anything you submit is visible to your Photographer, and may also be visible to their team, their second shooters, and their contractors. Please treat it that way, and do not put anything in the portal you would not want them to read.
What you submit stays yours. By submitting it you are giving your Photographer permission to use it for your project, and giving us permission to store, display, and process it only so that the portal works for them.
Only submit things you have the right to submit. If you upload a photograph someone else took, or a document containing someone else's personal details, that is on you. We may remove anything that breaks these terms or that your Photographer asks us to remove.
Your Photographer decides what personal information about you goes into the portal and what is done with it. In data protection terms they are the controller and we are their processor, which means we handle your information on their instructions rather than for our own purposes. We do not sell your personal information.
So if you want to see what is held about you, correct it, or have it deleted, start with your Photographer. They are the ones who can act on it. If you cannot reach them, email privacy@pixally.com and we will help you get to the right place, and we will support them in responding to you.
Our own Privacy Policy explains what we do with information we hold for our own purposes, such as basic security and diagnostic records for the websites we run.
Galleries expire. Share links expire. Projects close. Photographers change the software they use. Any of these can happen, and when one does, the pages you have been visiting will stop working.
So please download and keep your own copies of your photos, films, and documents as soon as you get them, and store them somewhere you control. Do not treat the portal as your archive, and do not treat it as a backup. How long your work stays available, and whether you get a warning first, is between you and your Photographer.
We also need to be able to run the software: we may add, change, or remove features, and we may take the service down for maintenance. We do not promise you any particular level of availability, and we do not owe you notice of a change. Our availability commitments run to your Photographer, under our agreement with them.
THE PORTAL, THE GALLERIES, AND EVERYTHING ON THEM ARE PROVIDED TO YOU "AS IS" AND "AS AVAILABLE", WITHOUT WARRANTY OF ANY KIND. TO THE FULLEST EXTENT PERMITTED BY LAW, WE DISCLAIM ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING ANY IMPLIED WARRANTY OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, AND NON-INFRINGEMENT. WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, TIMELY, SECURE, OR ERROR FREE, THAT ANY CONTENT WILL REMAIN AVAILABLE, OR THAT ANY FILE WILL BE FREE FROM LOSS OR CORRUPTION.
We are not responsible for what your Photographer does or does not do. That includes the quality of their work, whether they turn up, whether they deliver on time, what they charge, how they treat you, and whether they keep their promises to you. Those are matters between you and them.
TO THE FULLEST EXTENT PERMITTED BY LAW, PIXALLY WILL NOT BE LIABLE TO YOU FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES, OR FOR ANY LOST PROFITS, LOST BUSINESS, LOST GOODWILL, OR LOST, DELETED, OR CORRUPTED CONTENT OR DATA, EVEN IF WE HAVE BEEN TOLD SUCH DAMAGES ARE POSSIBLE.
TO THE FULLEST EXTENT PERMITTED BY LAW, OUR TOTAL LIABILITY TO YOU FOR ALL CLAIMS ARISING OUT OF OR RELATING TO THESE TERMS OR YOUR USE OF THE SERVICE WILL NOT EXCEED ONE HUNDRED US DOLLARS ($100). YOU PAY US NOTHING FOR THIS ACCESS, AND THIS LIMIT REFLECTS THAT.
None of this limits liability that cannot be limited by law, including liability for death or personal injury caused by negligence, or for fraud or fraudulent misrepresentation.
These terms are governed by the laws of the State of Maryland, without regard to its conflict of laws rules, and any dispute between you and Pixally that reaches a court will be heard in the state and federal courts located in Baltimore, Maryland.
If you live somewhere whose consumer protection law gives you rights that cannot be signed away, you keep those rights, and you may be able to bring a claim where you live. Nothing on this page is intended to take a mandatory consumer right away from you.
We may update these terms as the software changes. When we do, we will change the date at the top of this page, and where the change is significant we will ask you to acknowledge it the next time you sign in. If you keep using the portal or the galleries after an update, that means you accept the updated terms. If you do not accept them, please stop using the service and speak to your Photographer about another way to receive your work.
For anything about your photos, your booking, your invoice, or your contract, contact your Photographer directly. They are the fastest route and usually the only one who can help.
